West-Can HR is currently recruiting for an Executive Assistant / LIFT Conference Coordinator with the Brandon Teacher’s Association.

The Brandon Teacher’s Association (BTA) represents more than 700 teachers employed by the Brandon School Division. We are operated by an Executive Board of volunteers as well as a President who is a full-time employee of the association. The BTA is a local division of the Manitoba Teachers’ Society, the union which represents all public-school teachers in our province. The LIFT (Learning Information for Teachers) conference is a professional development conference offered annually the fourth Friday in October. It is a conference created and operated by the Brandon Teachers’ Association. ON average, Brandon hosts over 1000 teachers who attend a variety of sessions. The conference is second to none on our province. The operation of LIFT is overseen by a committee of volunteers who direct the work of the conference coordinator.

The BTA Executive Assistant will report to the Executive of the Association and will work closely on day-to-day basis with the BTA President. The successful applicant will be responsible for coordinating schedules, providing administrative support, handling communications with internal and external stakeholders and other duties as assigned. Also, the BTA Executive Assistant will serve as the BTA LIFT Conference Coordinator reporting directly to the LIFT Chair and Committee. The successful candidate must have experience in a fast paced, dynamic environment where a high degree of professionalism, confidentiality and flexibility are expected.

As the Executive Assistant will be responsible for:

  • Preparing agendas and attendance sheets for Council meetings, executive meetings, and committee meetings
  • Attending Council, Executive and committee meetings, and recording the minutes of these meetings
  • Assist in organizing and operating various BTA events, including annual retirement reception, annual general meeting, fall training, member events as determined by the Executive and/or Public Relations Committee
  • Coordinating the President’s work schedule and appointments
  • Maintaining working files and working agendas
  • Typing and producing correspondence / Preparing monthly Association newsletter
  • Maintaining the association’s website
  • Supporting the BTA treasurer with the budget by maintaining and updating a working copy budget, as well as issuing cheques and paying bills as required

As the LIFT Conference Coordinator you will be responsible for:

  • Ensuring the organization and operation of the annual LIFT Conference thought the booking of session presenters and facilities as directed by the BTA LIFT Committee
  • Maintaining conference registration, attending to post conference payments, preparing agendas, and attending and recording all minutes of the BTA LIFT Committee

Experience and Skills:

  • Previous experience as an Administrative or Executive Assistant is considered an asset
  • Previous experience with account data entry is considered and asset
  • Previous experience working with a board is considered an asset
  • A high level of proficiency in Microsoft 365 Office Suite including Excel, Outlook, Word, Publisher
  • Able to work in Google docs creating forms, and manipulating spreadsheets
  • Strong organizational skills and proven ability to handle competing priorities while being proactive
  • Able to work independently and as part of a team
  • A strong desire for continuous education and growth
